Problem statement
KiliMax ERP manages many interconnected business processes, which makes the product inherently complex.
Users such as business owners, managers, accountants, warehouse staff and sales teams need to complete very different tasks within the same ecosystem. Complex workflows such as inventory management, payments, stock movement and financial transactions can easily become difficult to navigate if the information architecture and interaction patterns are not clear.
The challenge was therefore to design interfaces that could:
Make complex business processes easier to understand.
Reduce unnecessary steps in important workflows.
Present large amounts of business information clearly.
Maintain consistency across different ERP modules.
Support both desktop and mobile users.
Handle different transaction states and edge cases.
Give users enough information to make confident business decisions.

Objective
My objective was to improve the usability and visual quality of KiliMax ERP while ensuring that the interfaces accurately reflected the underlying business processes.
I focused on:
01 — Simplifying workflows
Turn complex operational processes into clear, predictable user flows.
02 — Improving usability
Make important information and actions easier to find and understand.
03 — Creating consistency
Establish reusable UI patterns across different ERP modules and workflows.
04 — Supporting different users
Design experiences that work for managers, staff and other operational users with different responsibilities.
05 — Connecting workflows
Ensure that actions such as sales, payments and inventory changes made sense within the larger ERP ecosystem.

Solution
I approached the product as a connected business system rather than a collection of individual screens.
I mapped the relationships between major workflows and designed interfaces around the user's actual task.
I approached the product as a connected business system rather than a collection of individual screens.
I mapped the relationships between major workflows and designed interfaces around the user's actual task.
For example:
Product ➢ Inventory ➢ Sales ➢ Payment ➢ Customer ➢ Finance ➢ Reports
This helped me understand what information users needed at each stage and what should happen after an action was completed.
Key Areas I worked on
ERP & Dashboard
Designed interfaces for monitoring business activity and accessing important operational information.
Inventory
Worked on stock-related experiences including product information, stock movement and serial/IMEI-related workflows.
Pre-Sale
Designed the desktop and mobile Pre-Sale experience to support transactions that are not immediately completed through the standard sales process.
Partial Payment
Designed desktop and mobile experiences for handling transactions where customers pay only part of the total amount.
eTIMS
Worked on the user experience surrounding eTIMS integration and tax-related transaction requirements.
Responsive Design
Translated operational workflows between desktop and mobile while maintaining consistency and usability.

My Findings
Working on KiliMax ERP showed me that enterprise product design is fundamentally about managing complexity.
01 — Different users have different priorities
A cashier needs speed.
A warehouse employee needs accuracy.
A manager needs visibility.
An accountant needs financial detail.
The same interface therefore cannot treat every user equally.
02 — Business workflows are interconnected
A seemingly simple action can affect multiple areas of the system.
For example:
Partial Payment → Customer Balance → Receivables → Finance → Reporting
Understanding these relationships was essential before designing the UI.
03 — Edge cases are part of the core experience
ERP products cannot only design for the "happy path."
I had to consider scenarios such as:
Partial payments
Pre-sales
Discounts
Product bundles
Add-ons
Gift products
IMEI/serial selection
Stock availability
Shift handover
Payment states
Different transaction statuses
04 — Consistency matters more as a product grows
With many modules and workflows, inconsistent components and interaction patterns can quickly increase the learning curve.
This reinforced the importance of:
Reusable components
Consistent spacing
Typography
Form patterns
Buttons
Tables
Modals
Status indicators
Navigation patterns

My Next Steps
My next step would be to continue evolving KiliMax ERP into a more role-aware, scalable and intelligent enterprise platform.
I would focus on:
Role-based experiences
Tailor dashboards and workflows based on whether the user is a:
Business Owner → Manager → Accountant → Warehouse Staff → Sales Staff
Workflow optimisation
Identify high-frequency tasks and reduce unnecessary interactions.
Design system expansion
Continue building a stronger component and pattern library so new ERP features can be designed faster and more consistently.
Better data visualisation
Improve the way complex business information is presented through:
Charts
Trends
Comparisons
Alerts
Summaries
Actionable insights
AI-assisted workflows
Explore how KiliMax's AI capabilities can help users move from:
Finding information → Understanding information → Taking action
rather than simply presenting more data.

Impacts and Takeaways
My work contributed to improving the clarity, consistency and usability of KiliMax's ERP and operational experiences, while helping translate complex business requirements into practical user interfaces across desktop and mobile.
More importantly, the project strengthened my understanding of B2B SaaS and enterprise product design, particularly how inventory, sales, payments, finance and workforce operations are connected.
Key Takeaways
01 — I learned to design systems, not just screens.
Each feature needed to fit into a larger business workflow.
02 — Complexity needs structure, not simply fewer features.
The goal is not to hide functionality but to present it at the right time and in the right context.
03 — Enterprise UX requires strong attention to edge cases.
Partial payments, pre-sales, stock discrepancies, serial numbers and different transaction states are not exceptions—they are part of the real product experience.
04 — Consistency builds user confidence.
Reusable patterns and a coherent design language make complex enterprise software easier to learn.
05 — Product design is closely connected to business operations.
Designing KiliMax ERP required understanding not only what users see, but also what happens to inventory, customers, payments and financial records after they perform an action.
